Beebole’s monday.com integration imports your monday.com boards, items, and team members into Beebole so your team can track time against their monday.com work. The integration keeps your monday.com workspace and Beebole account in sync automatically — when an item or subitem is created or renamed in monday.com, the change is reflected in Beebole. New and renamed boards come in with a manual sync. Sync runs one way, from monday.com to Beebole: Beebole doesn’t send time entries or edits back to monday.com. You can import your monday.com structure into Beebole’s Projects and activities for time tracking with costs, billing, and expenses, or into Planning and tasks for resource assignment.

Before you start

You need administrative privileges in both monday.com and Beebole to set up the integration.

What’s included

Active boards and items at the time of enabling the integration are created in Beebole. Renamed items and subitems are updated in Beebole while the integration is active, and new items and subitems are added automatically. New boards and renamed boards are picked up by Manual sync.Subitems are supported where the board allows them and are imported as a third level beneath items. Only the public boards of the selected workspace are imported: private and shareable boards, and workdocs, are left out.
All active non-guest users of your monday.com account (not only the members of the selected workspace) are automatically created as people in Beebole when you first enable the integration. You choose a default role for these imported employees during setup. If a person with the same email address already exists in Beebole, Beebole links the monday.com user to that person instead of creating a new one. Users who join monday.com later are not imported by the automatic sync or by Manual sync.
Timesheet entries, approval workflows, billing rates, budgets, and expenses remain in Beebole and are not affected by the integration.

Step-by-step configuration

1

Connect to monday.com

Go to Settings > Integrations > monday.com. Click Connect to monday.com.A popup opens to authorize Beebole to access your monday.com account. Complete the authorization flow. The popup closes automatically when the connection is established.
2

Configure integration parameters

Once connected, configure the following options:
  • monday.com workspace: if your account has multiple workspaces, select the one you want to import. This option only appears when you have more than one workspace.
  • Default role for imported employees: select the role to assign to monday.com users when they are imported into Beebole. Beebole preselects a role whose people only see their own profile, such as Employee. To pick another one, remove it from the field and choose a role from the list.
  • Where to import your boards: choose between Projects and activities (for project time tracking with rates and billing) or Planning and tasks (for resource planning and assignment).
These options are locked while the integration is enabled.
You can review and manage existing roles in Settings > Person Roles.
3

Enable the integration

Click the toggle to Enable integration. Beebole imports all your active monday.com boards, items, and users.
The initial import may take a few moments depending on the size of your monday.com workspace. You can continue using Beebole while the import runs in the background. Until it finishes, the panel shows Updating integration. Please wait…
Once complete, the integration is active. New and renamed items and subitems in monday.com now appear in Beebole automatically. New and renamed boards come in with a manual sync.
4

Validate the integration

Click Projects in the sidebar, then click the category name next to the Projects: heading and pick the new Monday category. It contains all your imported boards and items. If you imported into Planning and tasks, click Planning in the sidebar instead, then click the planning name at the top of the page and pick the new Monday planning. You can rename it if needed.
5

Configure the timesheet

If you want the new Monday category to appear in the timesheet, go to Settings > Account Settings and open the Timesheet and Planning Settings panel. On its Categories tab, add Monday under Record time on these project categories, or under Record time on these plannings if you imported into Planning and tasks. See timesheet categories for how these rows work.

Syncing monday.com manually

To pull the latest changes from monday.com on demand, go to Settings > Integrations > monday.com and click Manual sync next to Manually sync monday.com boards and items. The button appears while the integration is enabled. A manual sync compares your monday.com boards, items, and subitems with Beebole. It creates what is missing, applies renames, and unarchives items that are back in monday.com. Boards and items that were deleted or archived in monday.com are deleted in Beebole, or archived when they are already in use. Deleting or archiving a board or item in monday.com doesn’t change Beebole until a manual sync runs. After the sync, Beebole shows the counts of items Created, Archived, Unarchived, Deleted, and Renamed, and lists anything it could not sync under Entries not synced.

Disabling the integration

If you disable the integration, any future changes made in monday.com will no longer sync to Beebole. Previously imported data remains in Beebole as local records.
To disable the integration, go to Settings > Integrations > monday.com and toggle the integration off. You can re-enable it at any time to resume syncing. Turning it back on adds the boards and items created in monday.com in the meantime. To also apply the renames and removals made while it was off, click Manual sync afterwards. To disconnect your monday.com account entirely, turn the integration off first, then click Reset connection. The Reset connection button is disabled while the integration is enabled. Boards, items, and people already imported stay in Beebole.

Frequently asked questions

Beebole’s time management has two structures. Projects and activities can be configured with billing rates, costs, budgets, and expenses. Planning and tasks is a list of tasks you can assign in resource planning charts. Both can be used in the timesheet to track time. Choose the option that best fits how your organization manages work.
New items and subitems, and renamed items and subitems, reach Beebole automatically, usually within minutes. New boards, renamed boards, and boards or items deleted or archived in monday.com are applied when you click Manual sync in the monday.com integration settings. If a change still doesn’t appear, contact support@beebole.com.
The integration imports all active public boards from the selected workspace. You cannot selectively import individual boards. However, you can organize and filter imported items within Beebole after the import.
During setup, Beebole shows a monday.com workspace selector when your account has more than one workspace. Select the workspace you want to import before enabling the integration. Only one workspace can be connected per Beebole account.
All previously imported boards, items, and people remain in Beebole as local records. They are not deleted. Only future changes from monday.com will stop syncing until you re-enable the integration.
