Before diving into the two easiest ways to document processes, I\u2019ll go over the five golden rules for writing them.<\/p>\n\n\n\n<p>Let&#8217;s get started.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-the-two-easiest-ways-to-document-processes\">The two easiest ways to document processes<\/h2>\n\n\n\n<p>In the last instalment, I told you that process documentation was simple, easy to do, and incredibly important for remote business survival. All that\u2019s left is to prove how easy it is.&nbsp;<\/p>\n\n\n\n<p>Before we dive into the details, here are five best practices to remember.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"rules\">The five golden rules for how to write process documentation<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-rule-1-include-detail\"><strong>Rule #1: Include detail&nbsp;<\/strong><\/h3>\n\n\n\n<p>Your process needs to produce the same outcome every time it\u2019s followed, regardless of who\u2019s following it. When describing each part of the process, be detailed so that anyone can pick it up and follow it. You can test this with your current fully distributed team\u2014make sure someone in Dublin can do it just as well as somebody in San Diego.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-rule-2-keep-it-simple\"><strong>Rule #2: Keep it simple<\/strong><\/h3>\n\n\n\n<p>Make sure your documentation processes are clear, simple, and easy to understand.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"700\" height=\"350\" src=\"https:\/\/beebole.com\/blog\/wp-content\/uploads\/2020\/10\/two-methods-for-documenting-processes-700x350.jpg\" alt=\"Keeping your process documentation clear and simple is key.\" class=\"wp-image-7248\" title=\"\" srcset=\"https:\/\/beebole.com\/blog\/wp-content\/uploads\/2020\/10\/two-methods-for-documenting-processes-700x350.jpg 700w, https:\/\/beebole.com\/blog\/wp-content\/uploads\/2020\/10\/two-methods-for-documenting-processes-768x384.jpg 768w, https:\/\/beebole.com\/blog\/wp-content\/uploads\/2020\/10\/two-methods-for-documenting-processes.jpg 1024w\" sizes=\"auto, (max-width: 700px) 100vw, 700px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-rule-3-make-it-accessible\"><strong>Rule #3: Make it accessible<\/strong><\/h3>\n\n\n\n<p>If you\u2019re a distributed company, it\u2019s crucial to keep your process documentation in one central place. Make sure that everyone in the business has access to it at all times.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-rule-4-make-it-easy-to-update\"><strong>Rule #4: Make it easy to update&nbsp;<\/strong><\/h3>\n\n\n\n<p>Regularly review processes to look for improvements or pinpoint costly inefficiencies. Make sure it\u2019s easy to update them.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-rule-5-start-now\"><strong>Rule #5: Start now<\/strong><\/h3>\n\n\n\n<p>Don\u2019t put off for tomorrow what you can do today.<\/p>\n\n\n\n<p><em>\u201cJust get it done. Do it now. If you don\u2019t know where to begin, just grab a pen and paper, and start writing down a process. Just start with one.<\/em>\u201d&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"priority-processes\">How to document priority processes rapidly for smaller teams<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-1-pick-a-process\"><strong>Step 1. Pick a process&nbsp;<\/strong><\/h3>\n\n\n\n<p>Sounds easy enough, but where to start?&nbsp;<\/p>\n\n\n\n<p><em>\u201cPick the process you use the most as this is where you&#8217;ll get the most cumulative benefits, and start with that.\u201d&nbsp;&nbsp;<\/em><\/p>\n\n\n\n<p>Repetitive tasks give you the opportunity to create efficiencies and improve quality.&nbsp;<\/p>\n\n\n\n<p>Here are 3 tips&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Choose an important process related to your business goals<\/li>\n\n\n\n<li>Make sure it\u2019s recurring<\/li>\n\n\n\n<li>Ensure that many will do this process, multiplying the benefits<\/li>\n<\/ul>\n\n\n\n<p>Recording time spent on a job or project is a great example of a process that can be improved. It\u2019s a repetitive daily task, it\u2019s done by the whole team, and it\u2019s important to the business as it provides productivity and performance data.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-2-write-it-down\"><strong>Step 2. Write it down<\/strong><\/h3>\n\n\n\n<p>Write down\u2014or ask those who currently use the process to write down\u2014each step of the process. Type it up, write it down, use a process documentation tool, or even work through the process while recording on a desktop\/browser.<\/p>\n\n\n\n<p>Writing out each step will highlight how the process is currently being used and will give you an instant snapshot into potential flaws.&nbsp;<\/p>\n\n\n\n<p>In our example, you might learn why your team is reluctant to fill their timesheets in. Removing unnecessary steps, or even investing in a timesheet tool, could take a complicated process and turn it into a streamlined one.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-3-follow-it\"><strong>Step 3. Follow it&nbsp;<\/strong><\/h3>\n\n\n\n<p>Yes. It really is as simple as that! Remember, though, to always keep looking for ways to improve your process.<\/p>\n\n\n\n<p>\u201c<em>Don\u2019t let it gather dust.<\/em> <em>Each time you run it, look for ways to improve it. <\/em>A<em>s you continue to iterate your processes over time, that\u2019s really when they become more valuable. If you go look at enterprise companies, their processes are some of their most valuable pieces of IP because they\u2019ve been so refined over so many thousands of customers or years.<\/em>\u201d<\/p>\n\n\n\n<p>If you have more time and resources, below is a slightly longer method for documenting processes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"document-processes-and-sops\">How to document processes and SOPs with more time and resources<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-1-choose-your-process-documentation-tool\"><strong>Step 1. Choose your process documentation tool&nbsp;<\/strong><\/h3>\n\n\n\n<p>Before you start documenting your processes, you need to decide <em>how<\/em> you\u2019re going to do it. Document authoring platforms like <a href=\"https:\/\/www.google.com\/docs\/about\/\" target=\"_blank\" rel=\"noopener\">Google Docs<\/a>, knowledge management systems like <a href=\"https:\/\/tettra.com\/case-studies\/\" target=\"_blank\" rel=\"noopener\">Tettra<\/a>, or business process management (<a href=\"https:\/\/www.process.st\/bpm-software\/\" target=\"_blank\" rel=\"noopener\">BPM<\/a>) tools like <a href=\"https:\/\/www.process.st\/workflow-software\" target=\"_blank\" rel=\"noopener\">Process Street<\/a> are three examples.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-2-identify-and-name-the-process\"><strong>Step 2. Identify and name the process <\/strong><\/h3>\n\n\n\n<p>Start with a frequently used process. Documenting <a href=\"https:\/\/www.process.st\/sop\/\" target=\"_blank\" rel=\"noopener\">standard operating procedures<\/a> (SOPs) is a great example of a process that\u2019s used daily and is incredibly important to the business. Name it, and provide a brief description of the overall process.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-3-set-boundaries\"><strong>S<\/strong><strong>tep 3. Set boundaries&nbsp;<\/strong><\/h3>\n\n\n\n<p>Define where it begins and ends, and establish what causes it to start and how you\u2019ll know it\u2019s done. Talk to the people who run the process now. Ask them to document their steps or record themselves running through the process on their desktop or browser.<\/p>\n\n\n\n<p>Ask key questions like:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>When does it start?<\/li>\n\n\n\n<li>When does it stop?<\/li>\n\n\n\n<li>Who will follow it?&nbsp;<\/li>\n\n\n\n<li>Who will be responsible for it?&nbsp;<\/li>\n\n\n\n<li>When will it be followed?&nbsp;<\/li>\n\n\n\n<li>What parts can be automated?&nbsp;<\/li>\n\n\n\n<li>How often will it be run?&nbsp;<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-4-confirm-expected-results\"><strong>S<\/strong><strong>tep 4. Confirm expected results<\/strong>&nbsp;<\/h3>\n\n\n\n<p>Then, you need to decide what you want the process to produce or achieve once completed. What\u2019s the end result you\u2019re aiming for?&nbsp;<\/p>\n\n\n\n<p>If you\u2019re looking at the process of recording time, you might want to improve the accuracy of time recording, or you might want to simply increase the number of people that fill in their timesheets.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-5-identify-the-process-steps\"><strong>S<\/strong><strong>tep 5. Identify the process steps&nbsp;&nbsp;<\/strong><\/h3>\n\n\n\n<p>Starting with what triggers the process, brainstorm what tasks and actions to include for it to achieve the desired results.&nbsp;<\/p>\n\n\n\n<p>Don\u2019t worry about the order of these steps yet; just focus on gathering information.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-6-organize-the-process\"><strong>S<\/strong><strong>tep 6. Organize the process<\/strong><\/h3>\n\n\n\n<p>Take all of the possible process steps, and put them into sequential order. Use a process flowchart or simply list out the steps in a list.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-7-review-the-process\"><strong>S<\/strong><strong>tep 7. Review the process&nbsp;<\/strong><\/h3>\n\n\n\n<p>Gather together everyone involved in documenting the process so far. Review the process as a group and ask questions like; <em>Are there missing steps? Is everything in the right order? Would it make sense to a newcomer?<\/em> <em>Are any steps unnecessary? <\/em>Use this feedback to tweak the process.&nbsp;<\/p>\n\n\n\n<p>You might establish that the existing process of filling in timesheets is taking too long; there are too many steps, and people don&#8217;t have the time to do it every day. From there, you might remove steps, impose new regulations around how often timesheets should be completed, or integrate a <a href=\"https:\/\/beebole.com\/\">time tracking tool<\/a> to make the process quick and easy.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-step-8-test-the-process\"><strong>S<\/strong><strong>tep 8. Test the process&nbsp;<\/strong><\/h3>\n\n\n\n<p>This final step is by far the most important one, especially for a remote team. Ask an employee who hasn\u2019t been involved in the documentation process to read the process documentation and successfully execute it. If they can do this without issue, it\u2019s passed the test. If they can\u2019t, take it back to the drawing board to improve the process.&nbsp;<\/p>\n\n\n\n<p>And that\u2019s it.
